Setting up for the Weekend Retreat

The Retreat Weekend is designed to lead those who attend through a process of exploration, recognition and repentance that leads to commitment and discipleship. Changes to the agenda should not be taken lightly, but accommodations and adjustments can be made for local issues.

Setting up for the Weekend Retreat

Setting up for the retreat takes place the Friday evening before the retreat weekend and is coordinated by the Continuation Committee. The purpose of the meeting is to complete all preparations and physical arrangements, review and coordinate all responsibilities for the weekend and pray together.

  • Weekend Coordinator and Physical Arrangements should have a work plan and check list for setting up.

  • It is very important to document or take quick pictures on mobile device of what each space looks like BEFORE set up so that it can be returned to its normal state following the retreat.

  • Weekend Coordinator/Materials Coordinator brings all materials needed for retreat (see Weekend in a Box), including chapel and kitchen supplies.

  • Table Leaders double check name tags to ensure correct spellings.

  • Physical Arrangements supervises setting up the Witness Room, Support room and sleeping spaces.

  • Kitchen supervises setting up the dining space and organizes all food donations.

  • Sacristan supervises setting up the chapel.

  • Agape Coordinator ensures that each retreatant has letters and that writing materials are available for those who want to write letters during the weekend.

Setting up the spaces may take three or four hours, depending on how much transformation is needed. Keep it simple. Many hands make light work and it is hoped that volunteers from other teams will assist.

When everything is in place, the current team proceeds to the chapel.

  • Journey Leader reviews any last minute changes, reminds team members of what time to arrive on Saturday morning and provides additional comments and encouragement for the team.

  • Journey Leader leads team in praying for each retreatant by name. Journey Leader initiates shared prayer.

  • Spiritual Guide gives closing prayer.

The Continuation Committee will determine whether setup evening ends with a community Agape Service, presented by the immediate past team, or a simple Prayer Service.
